Terms and Conditions of Rental

Please read these conditions carefully. When you book Kirklauchline Cottage you are entering into a contract, the terms of which are set out in these conditions of rental. The contract is for a short-term holiday rental at Kirklauchline Cottage, as specified on the booking form, between the client and the owners, David and Alison Smith.


All terms are per week (Saturday to Saturday) unless otherwise specified. We can offer some flexibility during the quieter winter months. Your accommodation will be ready for occupation from 3pm on the day you start your holiday. Please ensure that you vacate the cottage by 10am on your day of departure. We will contact you prior to your day of arrival to arrange to hand over the keys to the cottage.

Booking your holiday

Provisional bookings are held for 7 days pending payment of the deposit. A binding contract will exist once your completed booking form and deposit are accepted by us. Payment can be made by bank transfer or credit card.

Only the people you have named on the booking form are entitled to stay in the accommodation and the total number in your party shall not exceed the advertised capacity (4). In order to comply with the requirements of our Insurers we reserve the right to refuse occupation on arrival should the members of your party not correspond to the details given to us by you on your booking form. In these circumstances we will return the payment you have made for your holiday less the initial deposit and security deposit you have made to cover our loss of earnings. The hirer will not sub let the premises or any part thereof. In order to comply with the requirements of our insurers we are unable to accept bookings from anyone less than 18 years of age. We do not cater for stag or hen parties.

A non-returnable initial deposit of £100 is payable with each booking. The balance of the cost of the holiday is due 8 weeks prior to the commencement of your stay together with a separate security deposit of £100. Under the conditions of booking a security deposit of £100 is required and we must receive this with or before your final payment. This is generally paid by cheque, bank transfer or credit card. The cheque will be held on file and we will destroy the cheque after your holiday unless there are any breakages, losses or any excessively heavy cleaning is required. Bank transfer or credit card payment of your security deposit will be refunded within 7 days of departure unless there are any breakages, losses or any excessively heavy cleaning is required. Without receipt of the security deposit, your reservation will not be complete. All cheques should be made payable to Mrs. A Smith.

The full cost of your Holiday is payable if the booking is made within 8 weeks of the commencement date of your Holiday.

We reserve the right to refuse or terminate any booking we do not feel is appropriate.

Changes To Your Booking

After you have paid your deposit or balance and you wish to change some elements of your holiday please inform us immediately. We will try to meet your requests although we cannot always guarantee this. Any changes must be made at least two weeks before your holiday and should be confirmed to us by email by the person who made the booking. We require names of any additional guests and the age if under 18 years old.


The booking will be treated as cancelled if the balance of the cost of the holiday is not received by us by the date specified at the time of booking (8 weeks before the commencement date of your holiday) or alternative payment terms have been agreed. If you wish to cancel your booking once you have paid your initial deposit please notify us immediately. In these circumstances your initial deposit is non-returnable and any contract is rendered void.

If you cancel once you have paid the full cost of your holiday we are unable to return any monies to you. When you book your holiday with us we strongly advise you take out comprehensive holiday travel insurance to cover any cancellations or losses. If the property becomes unavailable due to circumstances beyond our control we will discuss any refund or part refund with you and we will have no further liability.

Security deposit

You must ensure that the property is left in a clean and tidy condition and that the property and its contents are respected at all times. If damage occurs (beyond fair wear and tear) or excessive cleaning is required then we reserve the right to deduct reasonable costs from the security deposit.

For the comfort of our guests Kirklauchline Cottage is strictly no smoking and no E cigarettes. If you do not respect this policy and there is any evidence of smoking in the cottage we have an arrangement with a local cleaning contractor, who we are able to employ at short notice to deep clean the cottage ready for our next non-smoking guests. The cost of this service will be deducted from your security deposit.


Electricity, heating and water are included in the cost of your holiday. The cottage has a pre-set programme for the central heating and this will be set on a timer appropriate for the season to ensure your comfort. There are individual thermostats on each radiator and two log burners provide supplementary heating if required. There is instant hot water at any time. A starter supply of logs and kindling are provided. Further coal and logs can be purchased locally.

Wireless broadband is provided free of charge via satellite. Please note that we are not responsible for the content of any browsing made during your stay at the cottage. Details of how to connect to the internet will be made available on arrival.

A landline telephone is available with an honesty box for payment, please do not use the telephone for calls to 118 numbers, mobiles or overseas. We reserve the right to recover the costs of excessive use from the security deposit.

Whilst every effort is made to maintain the telephone and broadband service there may be loss of service due to faults on the phone line or with the satellite. We cannot be held liable for any loss of this service during your stay, though we will do our best to trace and rectify any faults as quickly as possible.


One hand towel and one bath sheet per person will be included together with bed linen and kitchen linen.

Hot tubs

We do not allow guests to bring or hire inflatable hot tubs or swimming pools. Kirklauchline Cottage is not connected to mains drainage and our septic tank is not suitable for the discharge from these. We do not have an outside electricity supply nor do we have an outside tap.

Electric Vehicle Charging

We do not have a dedicated Electric Vehicle (EV) charging point nor do we have a suitably rated power socket for this use. We are unable to allow the charging of electric vehicles at Kirklauchline Cottage. We can provide information of charging facilities close by.

Right of Entry

We reserve the right to enter the premises at any time during your stay to inspect should we have reason to believe the property is being mistreated or for any repairs or emergencies.


We accept no responsibility or liability for damage or theft to or from any vehicles or damage or theft to or from any of your personal belongings left in the property or within its grounds. We accept no responsibility or liability for any damage or injury to any member of your party (including pets) that may occur whilst you are in occupation of the property.

Pet Policy

Although we are Dog owners ourselves and Kirklauchline Cottage is pet friendly, we do adopt a pet policy to protect our property and for the benefit and comfort of all guests who come to stay with us in the future. A maximum of two well behaved dogs are welcome at our cottage at no additional cost. Details must be supplied when you book your holiday.

A maximum of 2 well behaved dogs are allowed at the cottage at any one time. We reserve the right to refuse any booking that we feel is not appropriate. Full details, including name, age and breed of dog(s) must be given on the booking form. On arrival at the holiday cottage should the pets that you have brought with you not reflect those detailed on the booking form then we reserve the right to refuse occupation.

In consideration of our future guests pet owners are responsible for cleaning up and disposing of all pet refuse. For the consideration of our future guests at Kirklauchline Cottage we request that pets are not allowed on furniture or in the bedrooms at any time. Evidence of pets on furniture or bedding will incur extra cleaning costs, which we will deduct from your security deposit. Please do not use the bath in the bathroom to clean your pet. Pets should be treated with a flea and tick repellent prior to arrival.

Please keep pets under control when inside the cottage and do not leave pets unattended inside or outside the cottage. The cost of rectifying any damage caused by your pets to the interior or the fixtures and fittings of our holiday cottage will be deducted from your security deposit. We are located on a working farm and pets must not be allowed in the fields where there may be young farm animals.

We assume no responsibility for loss, illness or injury that may occur to your pet(s) whilst you are staying at the holiday cottage and details of the Academy Vets in Stranraer can be found inside the cottage.
